I have been invited to my first international conference. How do I prepare?

Prepare to learn, not to present; have ten target conversations identified before you board.

I am attending Web Summit for the first time. I am presenting on a panel. The conference is overwhelming and I want to use the trip well. How do I prepare?

Preparation has three parts: pre-event, in-event, post-event. Pre-event: identify ten specific people you want to meet and reach out by name to schedule a fifteen-minute coffee. Use the conference attendee list. Cold emails sent two weeks ahead with a specific request convert at perhaps thirty percent for first-degree-relevant people; cold approaches at the venue convert at perhaps three percent. The asymmetry is enormous. Pre-event also: prepare your two-sentence company description — what you do, who you do it for. If it takes more than two sentences you have not yet found product-market-fit articulation, which is itself a useful prompt. In-event: skip half the talks. The talks are recorded; the conversations are not. Spend less time in the auditorium and more time in the connective spaces (queues for coffee, hallways, side-stages). Your panel is good for visibility but the value is the conversations afterwards — be available for thirty minutes after your panel for follow-ups. Bring physical business cards; many regions still use them and they are a forcing function for memory. Post-event: write a follow-up note to every meaningful conversation within seventy-two hours. By day five most attendees have forgotten you; the early follow-up is the conversion event. What does not work: searching by topic-cluster only (returns too many entries; user-fatigue causes premature decisions); reading one entry and treating it as universal answer (advisor patterns vary by context); using archive in place of all advisory (live conversation has no substitute for company-specific nuance); ignoring entry-dates (some advice ages poorly).

The most common pitfall is reading one well-articulated entry and treating it as the answer. Async archives by their nature show one perspective per entry; the synthesis across 5-10 entries on the same question reveals the actual pattern. Founders who read the first compelling entry and stop usually misapply the advice to their context because they missed the pattern variation across cases.

7 · Counter-intuitive insight

Counter-intuitively, the highest-value entries are often not the longest detailed ones but the brief sharply-worded ones. A 200-word entry that captures a key principle generalises across more contexts than a 2,000-word entry deeply specific to one case. Length correlates poorly with applicability; conceptual sharpness correlates strongly.
